How do I submit a referral?

Click on MY REFERRALS. Review the list to make sure that you have not previously submitted a referral for the youth.

If the youth does not already have a referral listed, click on the “Add a New Referral”. Please fill out as much of the referral form as you can. Fields marked with an asterisk (*) are required. Click Submit when you’re done.

If the youth already has a referral on your list, you can update their information by clicking on the pencil icon to the right of their name.

How do I know if I’ve already submitted a referral for a particular youth?

Click on “My Referrals” in the Navigation Bar. This will show you a list of youth for whom you have submitted referrals.

How do I update a referral I’ve already submitted?

1. Click on “My Referrals” near the top of the screen (between “Add a New Referral” and “Frequently Asked Questions”).
2. Search for the youth that you wish to update.
3. Click on the pencil icon under the “Edit or Update Referral” column.
4. Update any fields you wish to change/update.
5. Click “Update” at the bottom of the page.

Note: Even if there is no change in information, clicking on “Update” on the referral will still show up in our system as being updated at the time “Update” was clicked.

How often should I update referral information for each youth?

You should update a referral any time demographic data about the youth has changed (such as his/her school, caregiver, address, etc.) and/or any time you would like to refer a youth to a specific Treehouse program.

Just-in-Time Funding and the Treehouse Store require new referrals every program year (which runs July-June). Youth who are actively enrolled in Graduation Success, Tribal Engagement, or Dual-System Involved Youth do not need new referrals every program year.

Referrals for Education Advocacy should be made when a specific educational need arises and are valid from the time of submission to the end of the current school year.

Why are there so many mandatory fields on the referral form?

All of the information on the referral form is used to report to our funders and/or to drive our service delivery. Some information is used to better assist our Educational Advocates and Graduation Success Education Specialists with intake into their respective programs.

How do I know if my referral was received?

Any referral entered into this website is automatically uploaded into our system. You will also receive a confirmation email upon submission. If you would like to double-check, please contact Treehouse at referrals@treehouseforkids.org.

How long will it take before the youth I referred can receive services?

Referrals are processed every weekday, but it may take up to one week for referred youth to be able to receive Treehouse services.

When will the caregivers and I hear from someone about services for this youth?

For Educational Advocacy, Advocates contact the referring agent within one week to confirm processing of the referral. For all other services, we generally reach out to the caregiver directly within about a week. You are welcome to contact Treehouse at referrals@treehouseforkids.org at any time to discuss a youth’s case.

How do I remove a youth from my list?

1. Click on “My Referrals” near the top of the screen (between “Add a New Referral” and “Frequently Asked Questions”).
2. Search for the youth that you wish to remove.
3. Click on the ‘X’ icon that is between the ‘pencil’ icon (edit) and the ‘double square’ icon (copy).

At this time, only referrals that were submitted or last updated in our previous program year may be removed from your list. Please contact the Intake team at referrals@treehouseforkids.org if you have any recent referrals that need to be removed.

Why can’t I save an incomplete referral and then go back and finish it later?

All of the referrals that we receive through this site are entered into Treehouse’s database, therefore, we need all referral information to be complete. If you are unable to complete a referral before logging out, you will have to completely re-enter it during a later login.

What if the youth I’m referring has more than one caregiver?

If the youth has more than one caregiver, please list the caregiver who is most likely to be the primary contact.

If there is no primary contact, but the caregivers have the same last name, please enter both first names in the CAREGIVER FIRST NAME field and the shared last name in the CAREGIVER LAST NAME field. (Ex. CAREGIVER FIRST NAME: Sam and Sheryl; CAREGIVER LAST NAME: Smith.)

If there is no primary contact but the caregivers have different last names, please put one caregiver name in the CAREGIVER FIRST NAME field and the rest of the name information in the CAREGIVER LAST NAME field. (Ex. CAREGIVER FIRST NAME: John Smith and; CAREGIVER LAST NAME: Jane Doe.)

What privacy protections are in place to protect youths’ information in these referrals?

Treehouse only gives logins to social workers from approved agencies, and each social worker is only allowed to view referrals that they have created.

I liked the paper referral form better. Why do I have to submit my referrals online now?

The online referral form is a much more efficient and accurate method of receiving complete information. Previously, referral data was hand-entered into our database which left a lot of room for human error. Additionally, the online form saves your data, so if you need to submit an updated referral, you can just update specific fields rather than filling out a whole new referral form.

How do I transfer a referred youth to my list or another another social worker’s caseload?

We are no longer able to accept requests to have a referral transferred to your list. If you know who a specific youth’s previous social worker was, please have them reach out to us to request that the specific youth be transferred to you.

Due to strict privacy measures, you cannot directly transfer a referral to another social worker’s case. Please contact Treehouse at referrals@treehouseforkids.org to have your referral reassigned.

Can I download these referrals for my records?

Yes! You can download a copy of the referral you submitted at any time for your records by going to your “My Referrals” list and clicking on the ‘Download Referral’ or ‘Download Advocacy Referral’ links to the right of their name.

How do I change my password?

Click MY ACCOUNT in the Navigation Bar on the right side of the screen. Enter in your new password in the password fields at the bottom of the page and click ‘Submit’.

How do I cancel my account?
